Setting Up the Ashby Integration

This article describes how to set up your Ashby integration and sync features.

Setting up your Ashby integration in SourceWhale is very simple, please follow the steps below.


Ashby Integration Set-Up

Step 1

Go to your profile in the bottom left-hand corner of SourceWhale and click on your initials or image > Select Integrations from the dropdown box > Search for Ashby in the search bar.

Step 2

Once you have selected Ashby, a pop-up with appear with instructions. To enable the Ashby integration, click on 'Account Page' which will direct you to here: https://app.ashbyhq.com/signin. Click Generate API Key and copy this into SourceWhale into the box next to 'API Key'.

Step 3

Click 'Activate'.

Once the integration is active you will see a green connected box by the Ashby icon.


Sync Features

On the integrations page, you will be able to set default settings for yourself and your team.

General Settings

  1. Do not merge with existing contacts in Ashby: Turning this toggle on will create duplicates in Ashby.

  2. Create notes upon: Choose for which outreach types a note is pushed in Ashby.

Sync Settings

  1. Only add notes to synced records: Toggling this on will mean that if you have "sync upon interested" or "sync upon replied" for the next option, we will only add notes to existing records in Ashby once a Candidate has been marked as "interested" or "replied".

  2. When adding to a campaign: Choose to sync when adding Candidates or when they respond or when they respond positively and are interested. Click the lock icon to lock the sync settings for all non-admin users within the platform

  3. Displayed fields: Choose which Ashby fields users can optionally tag to a Candidate to push into Ashby.

  4. Mandatory fields: Choose which Ashby fields must be filled to push Candidates into Ashby.

  5. Protected fields: Selected fields will not be overwritten in Ashby when syncing data.

  6. Filterable fields: Selected fields will be displayed within the SourceWhale search page as a filter, allowing your team to search your CRM using these fields directly from within SourceWhale.

Field Mapping

Here you can customise and map all Ashby fields to the corresponding SourceWhale variable.

Note: Please do not adjust unless you are finding that the variables are not mapping as expected in Ashby.

  1. Set different settings for Candidates

  2. String Variables: These SourceWhale variables can only be mapped to one field in Ashby.

  3. List Variables: These SourceWhale variables can be mapped to multiple fields in Ashby.

  4. Social URLs: Link specific social URLs such as LinkedIn, Twitter etc to the correct field in Ashby.
