Setting Up the Hubspot Integration

This article describes how to set up your Hubspot integration and sync features.

Setting up your Hubspot integration in SourceWhale is very simple, all you need to do is follow the steps below.


Hubspot Integrations Set-Up

Step 1

Go to your profile in the bottom left-hand corner of SourceWhale and click on your initials or image > Select Integrations from the dropdown box > Search for Hubspot in the search bar.

Step 2

Once on the integrations page simply select Hubspot and click Activate. You will be directed to Hubspot to sign in to your account.

When the integration is active, you will see Connected in green on the right-hand side of the Hubspot logo.


Sync Features

On the integrations page, you will be able to set default settings for yourself and your team.

General Settings

  1. Block emails to recipients marked as off-limits: If turned on, SourceWhale will not send emails to contacts marked as off-limits/opt-out in HubSpot.

  2. Backfill SourceWhale events when creating a contact: Turning this toggle on will backfill any existing activities completed in SourceWhale when manually pushing a contact into HubSpot.

  3. Displayed Company info: Select the option to give further information regarding a company in the SourceWhale Chrome extension.

  4. Displayed Company Warning: Select the option you would like displayed to help identify the correct company for a Contact when there may be possible company duplicates or similarly named companies in HubSpot.

  5. Create notes upon: Choose for which outreach types a note is pushed in HubSpot.

Sync Settings

  1. Only add notes to synced records: Toggling this on will mean that if you have "sync upon interested" or "sync upon replied" for the next option, we will only add notes to existing records in HubSpot once a Contact has been marked as "interested" or "replied".

  2. When adding to a campaign: Choose to sync when adding Contacts or when they respond or when they respond positively and are interested. Click the lock icon to lock the sync settings for all non-admin users within the platform.

  3. Displayed fields: Choose which HubSpot fields users can optionally tag to a Contact to push into HubSpot.

  4. Mandatory fields: Choose which HubSpot fields must be filled to push Contacts into HubSpot.

  5. Protected fields: Selected fields will not be overwritten in HubSpot when syncing data.

  6. Filterable fields: Selected fields will be displayed within the SourceWhale search page as a filter, allowing your team to search your CRM using these fields directly from within SourceWhale.

Field Mapping

Here you can customise and map all HubSpot fields to the corresponding SourceWhale variable.

Note: Please do not adjust unless you are finding that the variables are not mapping as expected in HubSpot.

  1. String Variables: These SourceWhale variables can only be mapped to one field in HubSpot.

  2. List Variables: These SourceWhale variables can be mapped to multiple fields in HubSpot.

  3. Social URLs: Link specific social URLs such as LinkedIn, Twitter etc to the correct field in HubSpot.
