Setting up the Invenias integration

This article describes how to set up your Invenias integration and sync features.

Setting up your Invenias integration in SourceWhale is very simple, all you need to do is follow the steps below.


Step 1

Select your initials/image in the bottom left hand corner of SourceWhale > Select Integrations > Search for Invenias and select.

Step 2

Enter the subdomain where you usually access Invenias.

Step 3

Please click on the link provided and ensure that you are signed in as an admin.

Step 4

Double click on the api_key box in the top-right. Copy the full key.

Note: This page can be glitchy and slow. You may need to refresh a few times.

Step 5

Enter the key that is created in the box below. Click Activate.

NOTE: Invenias can take some time to start working. If you are presented with an Invenias page saying "The client application is not known" after clicking "activate", refresh this page every 30 seconds until it works.

When the integration is active, you will see a green connected box to the right-hand side of the Invenias logo.


Sync Features

On the integrations page, you will be able to set default settings for yourself and your team.

General Settings

  1. Don't overwrite existing CVs in Invenias: If contact has an existing CV in Invenias, we will not upload a new CV.

  2. Block emails to recipients marked as off-limits: If turned on, SourceWhale will not send emails to contacts marked as off-limits/opt-out in Invenias.

  3. Backfill SourceWhale events when creating a contact: Turning this toggle on will push all of the notes for SourceWhale events that have happened prior to us creating the contact in the CRM.

  4. Update existing contacts' full work/education history, if known: Turning this toggle on will update contacts in Invenias with all available work and education history if synced again.

  5. Displayed Company info: Select the option to give further information regarding a company in the SourceWhale Chrome extension.

  6. Displayed Company Warning: Select the option you would like displayed to help identify the correct company for a Candidate/Contact when there may be possible company duplicates or similarly named companies in Invenias.

  7. Create notes upon: Choose for which outreach types a note is pushed in Invenias.

  8. Assignment Status Whitelist: Choose which assignment statuses you would like to display all assignments from. If nothing is selected, then all active assignments will be displayed.

  9. Programme Status Whitelist: Choose which programme statuses you would like to display all programmes from. If nothing is selected, then all active programmes will be displayed.

Sync Settings

  1. Set different settings for Candidates/Contacts.

  2. Only add notes to synced records: Toggling this on will mean that if you have "sync upon interested" or "sync upon replied" for the next option, we will only add notes to existing records in Invenias once a Candidate/Contact has been marked as "interested" or "replied".

  3. When adding to a campaign: Choose to sync when adding Candidates/Contacts or when they respond or when they respond positively and are interested. Click the lock icon to lock the sync settings for all non-admin users within the platform.

  4. Default Assignment Progress Status: Set a default assignment progress status for all candidates.

  5. New Candidate Status: Set a default status for new candidates.

  6. Existing Candidate Status: Set a default status for existing candidates.

  7. Email bounce note type: Set a note type for bounces.

  8. Displayed fields: Choose which Invenias fields users can optionally tag to a Candidate/Contact to push into Invenias.

  9. Mandatory fields: Choose which Invenias fields must be filled to push Candidates/Contacts into Invenias.

  10. Protected fields: Selected fields will not be overwritten in Invenias when syncing data.

  11. Filterable fields: Selected fields will be displayed within the SourceWhale search page as a filter, allowing your team to search your CRM using these fields directly from within SourceWhale.

Stage Mapping

Here you can map SourceWhale stages to your custom Invenias stages.

  1. Set different settings for Candidates/Contacts.

  2. Select the drop-down for each stage to map it to the correct Invenias Stage.

Note Mapping

Here you can map SourceWhale outreach types to your custom Invenias note types.

  1. Set different settings for Candidates/Contacts.

  2. Select the drop-down for each outreach type to map it to the correct Invenias note type.

Field Mapping

Here you can customise and map all Invenias fields to the corresponding SourceWhale variable.

Note: Please do not adjust unless you are finding that the variables are not mapping as expected in Invenias.

  1. Set different settings for Candidates/Contacts/Company.

  2. String Variables: These SourceWhale variables can only be mapped to one field in Invenias.

  3. List Variables: These SourceWhale variables can be mapped to multiple fields in Invenias.

  4. Social URLs: Link specific social URLs such as LinkedIn, Twitter, etc. to the correct field in Invenias.
