Setting up the Greenhouse Integration

This article describes how to set up your Greenhouse integration and sync features.

Setting up your Greenhouse integration is a very swift process. Simply follow the steps below!


Step 1

Navigate to your initials/image in the bottom left-hand corner > Select Integrations from the dropdown menu > Search for Greenhouse in the search bar.

Step 2

Navigate to Greenhouse's Dev Centre > Click Create New API Key and choose Harvest under API Type. > Put SourceWhale in the description box and make a copy of the key. > On the next screen, under the permissions section, choose Select All.

Step 3

Provide your API key and Greenhouse Domain in the relevant fields in SourceWhale > click activate.

Once your integration is active, you will see a green connected box appear to the right of the greenhouse logo


Sync Features

On the integrations page, you will be able to set default settings for yourself and your team.

General Settings

  1. Do not merge with existing contacts in Greenhouse: Turning this toggle on will create duplicates in Greenhouse.

  2. Don't overwrite existing CVs in Greenhouse: If contact has an existing CV in Greenhouse, we will not upload a new CV.

  3. Update existing contacts' full work/education history, if known: Turning this toggle on will update contacts in Greenhouse with all available work and education history if synced again.

  4. Create notes upon: Choose for which outreach types a note is pushed in Greenhouse.

Sync Settings

  1. Set different settings for Candidates/Prospects.

  2. Only add notes to synced records: Toggling this on will mean that if you have "sync upon interested" or "sync upon replied" for the next option, we will only add notes to existing records in Greenhouse once a Candidate/Prospect has been marked as "interested" or "replied".

  3. When adding to a campaign: Choose to sync when adding Candidates/Prospect or when they respond or when they respond positively and are interested. Click the lock icon to lock the sync settings for all non-admin users within the platform.

  4. Displayed fields: Choose which Greenhouse fields users can optionally tag to a Candidate/Prospects to push into Greenhouse.

  5. Mandatory fields: Choose which Greenhouse fields must be filled to push Candidates/Prospects into Greenhouse.

  6. Protected fields: Selected fields will not be overwritten in Greenhouse when syncing data.

  7. Filterable fields: Selected fields will be displayed within the SourceWhale search page as a filter, allowing your team to search your CRM using these fields directly from within SourceWhale.

Field Mapping

Here you can customise and map all Greenhouse fields to the corresponding SourceWhale variable.

Note: Please do not adjust unless you are finding that the variables are not mapping as expected in Greenhouse.

  1. Set different settings for Candidates/Prospects

  2. String Variables: These SourceWhale variables can only be mapped to one field in Greenhouse.

  3. List Variables: These SourceWhale variables can be mapped to multiple fields in Greenhouse.

  4. Social URLs: Link specific social URLs such as LinkedIn, Twitter etc to the correct field in JobAdder.
