Setting up the Bullhorn Integration

This article describes how to set up your Bullhorn integration and sync features.

In order to set up your Bullhorn integration on SourceWhale simply follow these steps.

Step 1

Navigate to your initials/image in the bottom left-hand corner > Select Integrations from the dropdown menu > Search for Bullhorn in the search bar.

Step 2

To enable the Bullhorn integration, raise a support ticket here. Bullhorn will then send us these details.

Step 3

When you click activate, you will be redirected to Bullhorns' terms of services page where you will be asked to give permission for SourceWhale to have access to your Bullhorn profile > click agree.

Once your integration is active you will see a green connected box appear by the Bullhorn Icon.


Sync Features

On the integrations page, an admin will be able to set default settings for yourself and your team.

General Settings

  1. Don't overwrite existing CVs in Bullhorn: If a contact has an existing CV in Bullhorn, we will not upload a new CV.

  2. Block emails to recipients marked as off-limits: If turned on, SourceWhale will not send emails to contacts marked as off-limits/opt-out in Bullhorn.

  3. Backfill SourceWhale events when creating a contact: Turning this toggle on will push all of the notes for SourceWhale events that have happened prior to us creating the contact in the CRM.

  4. Users can only see companies/contacts from their department: Restrict users from viewing company and contact details from other departments.

  5. Update existing contacts' full work/education history, if known: Turning this toggle on will update contacts in Bullhorn with all available work and education history if synced again.

  6. Displayed ClientCorporation info: Select the option to give further information regarding a company in the SourceWhale Chrome extension.

  7. Displayed ClientCorporation Warning: Select the option you would like displayed to help identify the correct company for a Candidate/Client Contact/Lead when there may be possible company duplicates or similarly named companies in Bullhorn.

  8. Create notes upon: Choose for which outreach types a note is pushed in Bullhorn.

  9. Default note action upon campaign step: Choose the Bullhorn Note Action for Candidate/Client Contact/Lead when they receive an outreach type in a campaign.

  10. Default note action upon campaign step: Choose the Bullhorn Note Action for Candidate/Client Contact/Lead when they are added to SourceWhale.

  11. Job Status Whitelist: Display the jobs under the selected job statuses only.

  12. New Company Status: For all new companies, automatically default to the selected status.

Sync Settings

  1. Set different settings for Candidates/ClientContact/Leads.

  2. Only add notes to synced records: Toggling this on will mean that if you have "sync upon interested" or "sync upon replied" for the next option, we will only add notes to existing records in Bullhorn once a Candidate/ClientContact/Lead has been marked as "interested" or "replied".

  3. Don't push to Bullhorn if required fields are missing: If any required fields in Bullhorn are not filled e.g. Email address, then the Candidate/ClientContact/Lead will not be pushed into Bullhorn.

  4. When adding to a campaign: Choose to sync when adding Candidates/ClientContacts/Leads or when they respond or when they respond positively and are interested.

  5. Link contacts to jobs as...: Add new Candidates/ClientContact/Leads with a default status

  6. Candidate job status: Automatically set the selected status for Candidates/ClientContact/Leads who unsubscribe.

  7. Default Status: Choose which Bullhorn fields users can optionally tag to a Candidate/ClientContact/Lead to push into Bullhorn.

  8. Unsubscribe Status: Automatically set the selected status for Candidates/ClientContact/Leads who unsubscribe.

  9. Sync Stage to: Automatically assign what field you'd like Stage to be synced

  10. Displayed Fields: Choose which Bullhorn fields users can optionally tag to a Candidate/ClientContact/Lead to push into Bullhorn.

  11. Mandatory Fields: Choose which Bullhorn fields must be filled to push Candidate/ClientContact/Lead into Bullhorn.

  12. Protected Fields: Choose which Bullhorn fields must be filled to push Candidate/ClientContact/Lead into BullhornWhen adding to a campaign: Choose to sync when adding Candidates/ClientContact/Leads or when they respond or when they respond positively and are interested.

  13. Filterable Fields: Add new Candidates/ClientContact/Leads with a default status

Note Mapping

Here you can map SourceWhale stages to your custom Bullhorn note types.

  1. Set different settings for Candidates/Contacts/Leads

  2. Select the drop-down for each stage to map it to the correct Bullhorn Note Type

Field Mapping

Here you can customise and map all Bullhorn fields to the corresponding SourceWhale variable.

Note: Please do not adjust unless you are finding that the variables are not mapping as expected in Bullhorn.

  1. Set different settings for Candidates/Contacts/Leads/ClientCorporation.

  2. String Variables: These SourceWhale variables can only be mapped to one field in Bullhorn.

  3. List Variables: These SourceWhale variables can be mapped to multiple fields in Bullhorn.

  4. Social URLs: Link specific social URLs such as LinkedIn, Twitter, etc. to the correct field in Bullhorn.
