Setting up the Vincere Integration

This article describes how to set up your Vincere integrations and sync features.

In order to set up your Vincere integration on SourceWhale simply follow these steps.


Step 1

Navigate to your initials/image in the bottom left-hand corner > Select Integrations from the dropdown menu > Search for Vincere in the search bar.

Step 2

To obtain a Client ID and API Key from Vincere, raise a support ticket and ask them for an API key and Client ID. In the same ticket make sure you provide them with the Callback URL from SourceWhale:

Step 3

Enter your Client ID, API Key and Vincere Domain into the relevant fields.

Step 4

Click 'Activate'.

Once the integration is active you will see a green connected box by the Vincere icon.


Sync Features

On the integrations page, you will be able to set default settings for yourself and your team.

General Settings

  1. Don't overwrite existing CVs in Vincere: If contact has an existing CV in Vincere, we will not upload a new CV.

  2. Backfill SourceWhale events when creating a contact: Turning this toggle on will push all of the notes for SourceWhale events that have happened prior to us creating the contact in the CRM.

  3. Update existing contacts' full work/education history, if known: Turning this toggle on will update contacts in Vincere with all available work and education history if synced again.

  4. Displayed Company info: Select the option to give further information regarding a company in the SourceWhale Chrome extension.

  5. Displayed Company warning: Select the option you would like displayed to help identify the correct company for a Candidate/Contact when there may be possible company duplicates or similarly named companies in Vincere.

  6. Create notes upon: Choose for which outreach types a note is pushed in Vincere.

Sync Settings

  1. Set different settings for Candidates/Contacts/Candidates & Contacts.

  2. Only add notes to synced records: Toggling this on will mean that if you have "sync upon interested" or "sync upon replied" for the next option, we will only add notes to existing records in Vincere once a Candidate/Contact has been marked as "interested" or "replied".

  3. Add activities & notes to companies: As well as adding to the candidate record, activities and notes will be added to the company records.

  4. When adding to a campaign: Choose to sync when adding Candidates/Contacts/Candidates & Contacts or when they respond or when they respond positively and are interested. Click the lock icon to lock the sync settings for all non-admin users within the platform

  5. Required Fields: Choose which fields must be filled in before being pushed into Vincere.

  6. Displayed fields: Choose which Vincere fields users can optionally tag to a Candidate/Contacts/Candidates & Contacts to push into Vincere.

  7. Mandatory fields: Choose which Vincere fields must be filled to push Candidates/Contacts/Candidates & Contacts into Vincere.

  8. Protected fields: Selected fields will not be overwritten in Vincere when syncing data.

  9. Filterable fields: Selected fields will be displayed within the SourceWhale search page as a filter, allowing your team to search your CRM using these fields directly from within SourceWhale.

Stage Mapping

Here you can map SourceWhale stages to your custom Vincere stages.

  1. Set different settings for Candidates/Contacts/Candidates & Contacts

  2. Select the drop-down for each stage to map it to the correct Vincere Stage

Field Mapping

Here you can customise and map all Vincere fields to the corresponding SourceWhale variable.

Note: Please do not adjust unless you are finding that the variables are not mapping as expected in Vincere.

  1. Set different settings for Candidates/Contacts/Candidates & Contacts

  2. String Variables: These SourceWhale variables can only be mapped to one field in Vincere.

  3. List Variables: These SourceWhale variables can be mapped to multiple fields in Vincere.

  4. Social URLs: Link specific social URLs such as LinkedIn, Twitter, etc. to the correct field in Vincere.
